Important information on the Registration Process

Read this first

Registrations will be done online through www.easyconferences.org. Participants may pay instantly using their credit card (VISA/MASTERCARD), or by bank transfer. A one-stop-shop software is used for the whole registration process, www.easyconferences.org. The whole process is very easy to use, it is totally secure and can be completed in a few minutes. Please note that participants may not only register for the conference through www.easyconferences.org, but they can also book their accommodation, airport transfers, car hire, etc. All additional services are offered at specially negotiated conference rates. Furthermore, the software provides participants with the possibility to complete the registration process periodically; participants may register for the conference and return later to book further services (subject to availability).

Please note that the software provides participants with the possibility to complete the registration process in steps/periodically; participants may register for the conference and return later to book further services like accommodation, taxi transfers, etc (subject to availability). The system will accept unlimited changes/updates up to the closing of the online registration process before the start of the conference.

1. You need to create an account at www.easyconferences.org. If you have one already go to step “3”

2. After creating an account you will need to activate it. An activation email will be sent to you when your account creation process is completed succesfully. You can activate your account by clicking on the activation email you received. if you do not receive an activation email 15 minutes after creating your account please email us at info@easyconferences.eu

3. After sucessfully activating your account or if you already have an account at www.easyconferences.org you can enter the registration system for EHPS 2025 by clicking here. To start the registration process you need to enter the email and password you chose when creating your account.

4. You can access your account as may times as you like to add items, make payments etc. After each change remeber to update your order.

General notes on Registration fees

  • Abstracts will be included in the Scientific Program and in the Abstract Book only if they are associated with a valid registration (on-site or online). One registration can be associated with just one submission.
  • All presenters must be registered.
  • All chairs, conveners and facilitators are required to register with an on-site registration tier and attend in person.
  • Each participant will be required to state in their registration process the submission number and title of the abstract they want to cover with their registration.
  • The deadline for registration for inclusion in the program is the 13th of June 2024.
  • If you feel your payment will be delayed past the deadline of the 13th of June (for example if your institution is involved in your payment)  YOU NEED TO LET US KNOW BEFORE THAT DATE at info@easyconferences.eu

Notes for fees for On-site participation at the conference.

  • Member and Non-Member Fees cover access to the Conference, Conference materials, Daily Coffee Breaks, Daily Lunches and Welcome Reception.
  • Full Member and Full Non-Member Fees cover access to the Conference, Conference materials, Daily Coffee Breaks, Daily Lunches, Welcome Reception and Conference Dinner.
  • Reduced Member Fees cover access to the Conference, Conference materials, Daily Coffee Breaks, Daily Lunches and Welcome Reception. Reduced Fees are dedicated to delegates coming from eligible countries.
  • Full Reduced Member Fees cover access to the Conference, Conference materials, Daily Coffee Breaks, Daily Lunches, Welcome Reception and Conference Dinner. Full Reduced Fees are dedicated to delegates coming from eligible countries.
  • Student member and Student non-member Fees cover access to the Conference, Conference materials, Daily Coffee Breaks, Daily Lunches and Welcome Reception.

Note: Proof of student status is required to be eligible for the respective registration fee. If you are not an EHPS member, please provide proof of student status by email at: info@easyconferences.eu (Student ID or a letter from the Head of Department/Director of Doctoral School prepared on the headed paper of the institution).

  • Full Student Member and Full Student non-member Fees cover access to the Conference, Conference materials, Daily Coffee Breaks, Daily Lunches, Welcome Reception and Conference Dinner.

  • All on-site participants will have full access to the Conference Platform and the live streams of the sessions of the conference.
  • Posters which are to be presented onsite can be printed , for a fee of 30 euro, payable through the registration system. The material to be printed, in PDF form, will be retrieved from the conference platform.The printed posters will be available for collection at the registration desk.

 Notes for fees for Online participation at the conference.

  • Online Registration tiers cover full access to the Conference Platform and the live streams of the sessions of the conference.
  • Accepted submissions covered by an Online Registration (oral and poster) will be required to have their presentations uploaded on the Conference Platform by the 1st of August. See the relevant guidelines under the “ONLINE PARTICIPATION: RECORDED ORAL AND VIRTUALPOSTERS PRESENTATIONS” section on the https://2025.ehps.net/submission/  page on the conference website.
  • Posters covered by an Online Registration will be printed and posted during the onsite poster sessions, by the onsite conference staff, for a fee of 30 euro, payable through the registration system. The material to be printed, in PDF form, will be retrieved from the conference platform. On-site poster sessions will not be live streamed.

Notes for fees for Workshops.

You can register to participate in a workshop if you have a registration for the EHPS 2025 Conference (page 2 of the registration process)

To participate in a workshop you need to PAY for the workshop on page “03 Satelite Events” of the registration process. Then select the actual workshop for which you paid to participate on page “04 Conference Extras”. The registration cost you have paid for the workshop will appear in your order summary at the end.

  • Workshop registration fees include one coffee break for each of the Half- day workshop and two coffee breaks for each of the Full day workshops.
  • All workshops are planed to be held as on-site only event.
  • All Workshop participants will receive a certificate of attendance in their respective workshop on demand.

EHPS Conference support for additional health-related costs

EHPS is an inclusive, health-focused society. As such, financial support up to the value of €500 is available on a case-by-case basis (up to the scheme budget of €3,000) to EHPS members with health conditions who will incur significant health-related costs when presenting at the conference. For example, where;

A carer must accompany the delegate, incurring higher travel and accommodation costs*

Specific accommodation (e.g. adapted, ground floor access, close proximity to venue) is required that incurs a higher cost*

Dietary requirements cannot be met by the conference catering arrangements*

Mobility equipment needs to be hired in the conference country*

*The listed examples are not exclusive and other health-related costs will be considered.

To apply for support, members should email grants@ehps.net by Friday 23rd May 2025.

In this email, applicants should (i) state their EHPS membership number (ii) include Proof of Acceptance of abstract or an oral or poster presentation (iii) give a brief outline of the additional costs that will be incurred and (iv) estimate the financial support [up to €500] required. If a higher number of applications are received than can be funded, applications will be reviewed and funding allocated on a priority basis.
